Position Overview:

We are seeking a Commercial Contracts and Client Relations Specialist to support our commercial office. This role focuses on preparing and managing commercial proposals, negotiating contracts, and building strong relationships with both clients and suppliers throughout the project lifecycle.
The ideal candidate brings expertise in project development proposals and contracts, a comprehensive understanding of architectural project phases, and the ability to manage supplier relationships, including defining their scope of work. A legal background with strong commercial and administrative skills is essential.

Key Responsibilities:

1. Proposal Development:
o Prepare and refine commercial proposals and economic offers tailored to client needs and project objectives.
o Collaborate with internal teams to ensure proposals align with project phases and deliverables.
2. Supplier Proposals and Scope of Work:
o Develop and manage proposals for suppliers to ensure alignment with project requirements.
o Define and oversee suppliers’ scope of works, ensuring their deliverables meet quality and timeline expectations.
o Negotiate supplier terms and ensure contracts comply with project objectives and budgets.
3. Contract Management:
o Draft, review, and negotiate client and supplier contracts for architectural and project development.
o Ensure contracts reflect project scope, phases, and all relevant legal and financial implications.
o Monitor compliance with contractual obligations for both clients and suppliers throughout the project lifecycle.
4. Negotiation Leadership:
o Lead negotiation processes with clients and suppliers, balancing studio interests with effective collaboration.
o Resolve any contractual disputes promptly and efficiently.
5. Client and Supplier Relationship Management:
o Maintain consistent communication with clients during project development and execution, providing updates and addressing concerns.
o Cultivate strong relationships with suppliers to ensure their integration into project workflows.
6. Project Phase Coordination:
o Analyze and understand architectural project phases to ensure all commercial and contractual elements align with their complexity and requirements.
o Collaborate with internal teams to translate project needs into actionable contracts and proposals.
7. Risk Mitigation:
o Identify and address risks in client proposals, supplier agreements, and contracts.
o Ensure all legal, financial, and regulatory standards are met in documentation and agreements.

Qualifications:

Education: Degree in Law, with a strong foundation in commercial or administrative disciplines.

Experience:

o At least 3 years of experience in an architecture studio, engineering firm, or related field.
o Proven ability to manage project proposals for clients and suppliers, and to define and oversee suppliers’ scope of works.

Skills:

o Comprehensive knowledge of architectural project phases and their commercial and legal complexities.
o Proficiency in professional and legal English (written and spoken); additional language skills, such as Italian or French, are a plus.
o Strong negotiation, organizational, and analytical skills.
o Familiarity with contract management tools and standard software applications.
